Booking and Payment

Sessions are booked by contacting me via email or my online scheduling tool. Session rates are confirmed before we meet.

Payment is by bank transfer and is due at least 48 hours before your session. If, exceptionally, payment has not been received in advance, it must be made within 7 days of the session taking place. Late payments will incur statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998.

All prices are quoted exclusive of VAT. VAT will be added to invoices if applicable.

Where sessions are booked as a block, payment for the full block is due before the first session. If the working relationship ends before all sessions are used, unused sessions will be refunded. However, if the block was booked at a discounted rate, the refund will be calculated after applying the standard per-session rate to sessions already delivered.

For my first session money back guarantee, you must notify me 48 hours of the session ending if you were dissatisfied with how things went.

Cancellations and Rescheduling

I ask for 48 hours’ notice to cancel or reschedule. Cancellations within that window are charged at the full session rate.

I reserve the right to cancel or reschedule with reasonable notice. If I do cancel, I will aim to find another time that works for you.

Session Format

Sessions are delivered online or face to face.

For face to face sessions, you will need to arrange a suitable venue and cover any associated costs. Venues must be quiet and private enough to speak freely, and I don't meet at my home or clients' homes.

Online sessions are delivered via video call and are not recorded. I am not liable for technical issues caused by third-party platforms. If a session cannot go ahead due to a platform failure, I will aim to reschedule at the earliest opportunity.

I don't routinely permit the use of AI transcription tools or recording software during sessions. This applies to online and face to face session. If I agree to this in a specific case, the client takes full responsibility for how that recording or transcript is stored, used, and shared.

Any frameworks, methods, or materials of mine captured in a recording or transcript remain my intellectual property and must not be reproduced, shared, or used commercially without my written permission. Any agreement to record must be confirmed by me in writing in advance.

I am not liable for technical issues caused by third-party platforms. If a session cannot go ahead due to a platform failure, I will aim to reschedule at the earliest opportunity

TRAVEL

I travel by train where possible. Travel costs are quoted before booking and are subject to the same cancellation terms as sessions. Travel costs include the cost of travel and travel time. Travel time is charged at 50% of the standard session rate.

I don’t charge for travel to Southampton UK postcodes

Confidentiality

Everything discussed in our sessions stays between us. I may take brief notes for my own reference and session continuity.

As a member of the Association for Coaching, I work with a coaching supervisor. I may discuss our work in that context, but only anonymously. My supervisor is bound by their own confidentiality obligations.

I will not share your information with anyone else, except where required by law, or where I believe there is a risk of harm to you or others.

Data and Privacy

I hold and process your personal data in accordance with UK GDPR and the Data Protection Act 2018. Please see my Privacy Policy for full details of how your data is collected, stored, used, and how you can request its deletion.

Professional Indemnity Insurance

I hold professional indemnity insurance and cyber and data insurance underwritten by Hiscox Insurance Company Limited, arranged through PolicyBee. Cover is maintained at a level appropriate to the services provided..

Liability

My coaching, mentoring and advice is based on experience and professional judgement. You are responsible for the decisions you make about your business. I am not liable for business outcomes, losses, or damages resulting from our work together.

Nothing in these terms limits liability for death, personal injury, or fraud.

Intellectual Property

Materials created specifically for you during our sessions are yours to use. General frameworks, tools, and methods I use remain my intellectual property. Please don’t reproduce or share them without permission.

Force Majeure

I am not liable for failure to deliver sessions due to circumstances beyond my reasonable control. Where this happens, I will always try to reschedule.

Termination

Either of us can end our working relationship at any time by giving written notice. Email is sufficient. Refunds for unused prepaid sessions are subject to the cancellation and rescheduling terms above.

Changes to These Terms

I may update these terms from time to time. The current version will always be available on my website with an updated date.

Disputes

If something's not right, let's talk it through first. If we can't resolve it between us, you can raise a complaint with the Association for Coaching — details of their complaints procedure are at associationforcoaching.com. These terms are governed by the laws of England and Wales.
